Lynqra builds AI agents, automations and small apps for Singapore trading, wholesale and distribution companies. The system reads enquiries, customer purchase orders and supplier invoices, then drafts the quotation, the sales order or the match. Your team checks them, and no price, credit decision or payment goes out until someone in your firm approves it.
A trading company runs on documents that arrive in every format. Enquiries come by email and WhatsApp with part numbers that do not quite match your catalogue. Customer purchase orders arrive as PDFs, scans and photos, and someone keys each line into the accounting system as a sales order. On the buying side, every supplier invoice should match the purchase order and what actually arrived in the warehouse before anyone pays it.
None of it is hard. It is retyping and checking, and it sits close to the money. A customer PO keyed at the wrong price becomes a dispute. An order released to a customer who is already over their credit limit becomes a debt to chase. A supplier invoice paid without checking the goods receipt pays for stock you never received.
The work we see most often in trading and distribution companies:
Each one is a separate build with its own fixed quote. Most firms start with one and add the next once it runs.
Enquiries read for part numbers, quantities and delivery dates, matched to your catalogue and price list, and drafted as a quotation in your format. Sales sets the final price and discount.
POs read from email, PDF or a photo, checked against the quotation, and drafted as a sales order in your accounting system. Price or quantity differences and credit limit breaches wait for a person.
Supplier invoices matched to the purchase order and goods received note. Clean matches are queued for payment approval, and exceptions go to the person who owns them.
Your team keeps working the way it does today. The system picks up what they send and does the drafting.
Enquiries, customer POs, supplier invoices and delivery notes, by email, WhatsApp or a shared folder. Customers and suppliers do not have to change anything.
A quotation, a sales order, a three-way match or a reminder for an overdue account, in your system's format.
Prices, discounts, orders over a credit limit, credit notes and supplier payments wait for someone in your firm. The system never releases these on its own.
The approved order or invoice goes into your accounting system with the source document attached, so anyone can see what is still open.
Every Lynqra build keeps a person on prices, payments and customer commitments. In a trading company that means your team decides:
The system does the reading, matching and reminders. It flags what looks wrong, such as a PO price that differs from the quotation, or an invoice for more units than the warehouse received. It does not decide.
ERP and distribution software does a lot of this well, from sales orders to stock and purchasing. If your firm is ready for one and your process matches it, buy it, and we will tell you so in the consult. Firms usually come to us when they already run an accounting system or ERP that works, but documents still arrive as PDFs and chat messages that someone has to retype into it.
| Option | Works well when | Watch out for |
|---|---|---|
| Spreadsheets and your accounting system | Order volume is low and one person handles both selling and billing | Retyping errors, and credit and stock checks that rely on memory |
| A new ERP or distribution system | You need stock, purchasing and sales in one system and can spend months on the change | Migration and retraining, and customer documents that still arrive in every format |
| Automation or a small app from Lynqra | Your system works, but the reading, retyping and matching around it does not | It needs one clear first workflow and someone in your firm to own it |
Pick the one workflow that costs your team the most time or money. For most trading and distribution companies it is one of these:
If you handle a few orders a week, or most orders come through a platform that already feeds your accounting system, there is not enough retyping to justify a build. If you are about to replace your ERP, wait. Automate around the new system once it settles, not around the old one.
And if you want a system that sets prices or releases credit with nobody checking it, we are the wrong partner.
The same three steps for every firm. You know the scope and the price before any work starts.
Bring one workflow and a week of real documents, such as customer POs or supplier invoices. We map how they move today and agree what to automate and what must stay with your team.
You get a written quote and timeline. We build around your templates and the tools your team already uses, and add a small app only where something is missing.
The new flow runs alongside your current one first. We train the people who will run it and watch the first jobs before anything expands.
Usually. PDFs, scanned forms and clear photos can be read, and each line is checked against the quotation and your item codes. Anything it cannot match goes to a person instead of being guessed.
No. The build works with the system you have, through its connections where it has them, such as Xero or QuickBooks, or through an import file where it does not.
Not on its own. It can draft the confirmation, and a person approves the dates and anything else the customer is promised.
IRAS is phasing in its GST InvoiceNow requirement. New voluntary GST registrants are already covered, and existing GST-registered businesses join in phases from 1 April 2028 to 1 April 2031, depending on the value of their supplies. E-invoices arrive as structured data, which makes matching easier. See our InvoiceNow guide and check the IRAS page for your date.
It can flag stock count variances and items below their reorder point from your stock data, for a person to act on. See the stock variance guide.
The consult is free. If the workflow is worth building, you get a fixed-scope quote before any work starts.
Funding pathways such as EDGE may be assessed case by case, subject to eligibility and approval. We work with advisory partners on funding and never promise a grant.
