What a handover checklist must cover

  • Before the appointment: every VO signed and billed, the final claim issued, defects fixed and checked, permits closed where required, and the unit cleaned.
  • Room by room tests: doors, windows, carpentry, tiles, paint, ceilings, every power point and light, taps, drainage, toilets, sealant and air conditioners.
  • Documents: warranties, manuals and care instructions, the final invoice and statement of payments, and how to report a defect during the defects liability period.
  • Keys and access: keys for every door, window and cabinet, access cards, remotes and digital lock codes.
  • Anything still open, with the date you agreed to fix it.
  • Signatures from your firm and the client, dated.

What is in the template

How to fill it in

From the last defect to keys handed over

Five steps. Most of the work happens before the appointment.

1

Prepare before the appointment

Work through the first section a few days before handover. Chase unsigned VOs and close open defects first.

2

Walk every room with the client

Test as you go, and mark each item Yes, No or Not applicable.

3

Note what is still open

Write anything unfinished in the last section with the date you agreed to fix it, so the handover can still go ahead.

4

Hand over documents and keys

Go through the warranties, manuals, final invoice and keys with the client, and note how many keys you handed over.

5

Sign and file

Both sides sign. Keep the checklist with the job file as the record of what was handed over and when.

Common handover mistakes

  • Booking the handover before the defects are fixed, so the appointment turns into another inspection.
  • Unsigned VOs left until the final claim, when they are hardest to settle.
  • Testing only some of the power points and lights.
  • Handing over without warranties or care instructions, which leads to calls later.
  • No record of the keys and access cards handed over.
  • No signature, so there is no record of the handover date when the defects liability period comes up.

When the spreadsheet is not enough

Handover packs are slow to put together because the pieces are scattered: signed VOs in one place, warranties in emails, photos in chats. Lynqra builds systems that file these against the job as the project runs, so most of the pack is ready before the appointment. A person in your firm still checks it and signs off with the client.

    FAQ

    Handover checklist questions

When should we use the checklist?

Twice: a few days before handover to prepare, and on the day with the client.

What if something is not finished at handover?

List it in the items still open section with an agreed date. Both sides sign, so it is clear what is outstanding.

Should the client sign the checklist?

Yes. A signed and dated checklist records when the unit was handed over and what was outstanding, which matters for the defects liability period in your contract.

    Is the template really free?

Yes. Fill in the short form and the download appears straight away. You can use and change the file for your own firm's jobs.

Does it work in Google Sheets?

Yes. Upload the file to Google Drive and open it with Google Sheets, or open it in Numbers. The formulas and drop-down lists work in both.
