What a renovation quotation must contain

Whether you send it as a PDF or print it for the client to sign, a quotation should answer three questions without a phone call: what exactly will be done, what it costs, and when the client pays. In practice that means:

  • Your firm's name, UEN, address and contact details, and your GST registration number if you are GST-registered.
  • A quotation number, the date, and the date the prices are valid until.
  • The client's name, the property address and the property type. HDB flats, condominiums and landed homes come with different approval steps.
  • Every item, grouped by trade or by room, with the area, a description that names the material, brand and finish, the quantity, the unit and the rate.
  • Subtotals, any discount and the total. If you are GST-registered, show GST as its own line. IRAS lists the current GST rate.
  • A payment schedule tied to stages of the work, with the percentage and amount for each stage.
  • What is not included, such as loose furniture, appliances or management deposits.
  • Terms: how long the quote is valid, how changes are handled, and when payment is due.
  • A place for the client and your firm to sign and date.

Works in HDB flats and condominiums

HDB requires renovation works in HDB flats to be carried out by contractors listed in its Directory of Renovation Contractors, and some works need a permit before they start. HDB's page on applying for renovation approval explains which. If your quote includes hacking, wall changes, windows or similar works, say in the quote that they are subject to approval. For condominiums, check the management's renovation rules and any deposit, and say in the quote who pays for it.

What is in the template

One Excel file with two sheets. The Quotation sheet is the document you send. The How to use sheet explains each part and can be deleted before you send the file. Pale yellow cells are for your details; amounts, subtotals, GST and the payment schedule calculate.

How to fill it in

From site measurement to a signed quote

Five steps. The template does the arithmetic; your team decides every price.

1

Fill in the header

Your firm's details once, then the client, property type and quotation number for each job. Insert your logo above the title if you want it on the printout.

2

Price each trade section

Keep the items you need, type the quantity and your rate, and the amount calculates. Delete rows you do not need, or insert rows inside a section.

3

Describe what the client is buying

Name the material, brand and finish in each line. A wardrobe described only as laminate leaves room for argument. The laminate brand, series and colour do not.

4

Check totals and the payment schedule

Enter any discount, set GST to 0% if your firm is not GST-registered, and make sure the payment stages add up to 100%.

5

Send it and keep the signed copy

Edit the exclusions and terms to fit your firm, save the sheet as a PDF, and file the signed copy with the job. Later changes go on a variation order.

Common quotation mistakes

  • Lump sums with no breakdown. One line for kitchen works makes every later change an argument about what was included.
  • Descriptions without materials or brands, so the client expects one finish and the site team installs another.
  • No exclusions. If loose furniture, appliances or management deposits are not included, say so in writing.
  • Quantities from a quick look rather than a measurement. Note the date of the site measurement and that quantities will be confirmed on site.
  • Permit-dependent works quoted without saying they depend on approval.
  • No validity date, so a client comes back months later expecting the old prices.
  • Changes agreed later on WhatsApp but never added to the quote. Put them on a variation order instead.

When the spreadsheet is not enough

A template fixes the layout. It does not stop the retyping: site notes into the quote, the quote into the VO, the VO into the claim. Lynqra builds systems for Singapore ID and renovation firms that draft the quotation from your own template and rate list, using the designer's site notes and photos. A person in your firm checks every line and approves the price before anything goes to the client.

    FAQ

    Quotation template questions

    Should the quote include GST?

Only if your firm is GST-registered. The template has a GST rate cell: set it to 0% if you are not registered, and check the current rate with IRAS if you are.

    What units does it use?

The usual ones for renovation work in Singapore: square feet for tiling, flooring and ceilings, foot run for carpentry, points for electrical and plumbing, and lot or number for the rest. You can change any unit.

Can I add my own terms?

Yes. The terms sit in input cells, so you can replace them with your firm's own wording. They are a starting point, not legal advice.

    Is the template really free?

Yes. Fill in the short form and the download appears straight away. You can use and change the file for your own firm's jobs.

Does it work in Google Sheets?

Yes. Upload the file to Google Drive and open it with Google Sheets, or open it in Numbers. The formulas and drop-down lists work in both.

    Start with one workflow

Bring the quotation, VO, claim or update that takes your team the longest. There is no commitment, and a person in your firm stays on prices, payments and customer commitments.
